Payments, cancellations and refunds
This page explains how payments made through MedicDay work, how a booking or an order is cancelled, and how money is refunded. MedicDay is provided by YRO Systems Private Limited. The clinic or pharmacy you pay is the seller of its service or medicines; MedicDay provides the software and the payment page.
1. How you pay
- Online payments (UPI, cards, net banking, as offered) are processed by licensed payment gateways such as Cashfree and PhonePe. MedicDay never sees or stores your card, UPI PIN or bank details.
- The amount you pay is shown before you pay. It is the clinic's or pharmacy's bill, plus, where it applies, the Platform fee and the gateway's charge for the way you pay, each with GST.
- You get a receipt for the bill from the clinic or pharmacy, and, where a Platform fee is charged to you, MedicDay's own tax invoice for it.
- Payments at the clinic's or pharmacy's desk (cash, card or the desk's UPI) are between you and them.
2. Platform fee (for clinics and pharmacies)
- MedicDay charges a Platform fee on payments taken online through MedicDay: payment links, QR payments, online bookings and online orders. It is a percentage of the bill between a lower and an upper limit, plus GST. The rates that apply to an account are shown in Settings → Payments.
- The fee is either included (taken from the clinic's or pharmacy's share; MedicDay invoices the clinic) or added (paid by the patient on top of the bill, with the gateway's charge; MedicDay invoices the patient). The bill amount reaches the clinic in full when the fee is added.
- There is no fee on cash, card or UPI payments taken at the desk outside MedicDay's online payments.
- The gateway pays the clinic's or pharmacy's share into its bank account on the gateway's settlement schedule. For PhonePe payments, PhonePe settles MedicDay's fee to MedicDay separately.
3. Cancellations
Online bookings
- While you pay, your number is held for a few minutes. A paid booking always gets a number.
- Cancel in time, get everything back. You can cancel a paid booking yourself on its page (the link you get after paying) until the clinic's cancellation time before the session. The booking page shows that time before you pay. You get back everything you paid: the clinic's charges, the Platform fee and the payment charge.
- Until the same time you can also move the booking to another session of the same doctor at the same place, on its page; what you paid moves with it. The clinic can move it for you too, when you agree.
- After that time, call the clinic. A refund is then the clinic's decision; if you do not come, the clinic decides whether to refund you.
- If the clinic cancels your visit, or calls the session off (the doctor is on leave, a holiday), your booking is cancelled and you get back everything you paid, automatically.
- If you were charged but no booking was confirmed, or you paid twice, contact the clinic with the payment reference: everything you paid for it is refunded.
Pharmacy orders
- You can cancel an order on its own page (the link you got when you paid) until the pharmacy packs it, or call the pharmacy: you are refunded in full, including the delivery charge and any Platform fee.
- If the pharmacy cannot supply your order, it rejects it and you are refunded in full, including the delivery charge and any Platform fee.
- If it supplies only part, or does not hand over a prescription medicine because the prescription is not valid, you are refunded the price of the items not supplied. The delivery charge and any Platform fee are then not refunded, since the rest of the order is still supplied.
- If you do not collect a pickup order, the pharmacy may cancel it and refund the price of the medicines. If a delivery cannot be made, the pharmacy cancels it and refunds the medicines; it decides whether the delivery charge is refunded. The Platform fee is not refunded in these two cases.
- Prescription medicines are for pickup at the pharmacy only, and are handed over against your pickup code once the pharmacist has seen a valid prescription.
- If an item you received is wrong, damaged, expired, defective or missing, or was dispensed in error, tell the pharmacy: it takes the item back and refunds its price to how you paid. Medicines are not taken back because you changed your mind.
MedicDay accounts
A clinic or pharmacy may close its MedicDay account at any time; see the terms. Platform fees already charged on completed payments are not refunded.
4. Refunds
- Back to the original payment method only. An online payment is never refunded in cash through MedicDay.
- Money owed back is refunded: a payment on a cancelled bill, a payment beyond what the bill asked for, a QR payment that matched no bill, or a booking that could not be completed.
- Refunds are started by the clinic or pharmacy (or by MedicDay for a booking that could not be completed) and are complete when the gateway confirms them. After that, banks usually credit the money within 5–7 working days; UPI refunds are often faster. If you agreed to WhatsApp messages, you get one when the refund is done.
- The Platform fee and the payment charge, with their GST, are refunded too when you did not get what you paid for through no fault of yours: you cancelled a booking in time, the clinic cancelled it, a booking was not confirmed, you paid twice, or a pharmacy order was not supplied at all. Otherwise only the bill amount is refunded. A refunded fee is cancelled by a GST credit note.
- Refunds of payments made at the desk are handled by the clinic or pharmacy at the desk.
5. Problems with a payment
- If money left your account but no receipt came, wait a few minutes: MedicDay checks each payment with the gateway and confirms it by itself. If it is still missing, contact the clinic or pharmacy with the payment reference (UPI reference or UTR).
- For anything you cannot settle with them, contact MedicDay.
